How is folder creation handled in a Dossier? can it be configured in any way?

Hi together,
today I am reaching out to you to better understand, how a dossier is handling folder creation for a sub-document library and if there is a way to control it.

Here is my scenario: 

I have a dossier Audit (list) with two sublists as document libraries: Audit Documents, Audit Document Archive. I am using a folder naming convention that uses three different fields including the title-field. 
During the audit process, a lot of documents are gathered in a folder structure in Audit Documents. Then the audit is closed and it gets archived. At this point the folder is moved over to "Audit Documents Archive", where certain retention policies are applied to. The list item remains (is not deleted or moved) with the status "Archived".
(By the way: The "Audit Documents Archive" library is read-only. Folders are moved via a triggered action in the background)

On the Audit form I have two list view controls for the respective sublists. Their visibility is based on the Status. If "Archived" it shows the list view to "Audit Document Archive", otherwise, it shows the documents of "Audit Documents".
What I try to achieve is, that no folder is created automatically in the Audit Documents Archive until the corresponding Audit is reaching the Status "Archived". And after the Status has reached "Archived" and the folder has been moved to "Audit Documnts Archive", no new folder should be created automatically in "Audit Documents".
I tried to control, when the folders for the sublists are created by the visibility of the list view control, which seemed to work in the beginning. However after some time, the folders got created anyways.  

So here are my questions: 
- How is folder creation triggered in a dossier? Is this happening automatically after a parent item is created? 
- Is there a way to control, when a folder for a sublist is created, e.g. through an expression?
- Is there maybe a way to activate or deactivate a sublist over the lifetime of a list item?
- I realized that the folder creation is properly filtering out special characters. What is your naming convention or filter expession to create the foldername based on the input?
- Is there a different way I should tackle my scenario?
